Background
To design and implement a robust solution within SMART by GEP that enables Buyer Admin users to automatically identify, review, and manage duplicate supplier instances in the procurement system, thereby improving data integrity, operational efficiency, and supplier relationship management.
What was the problem?
Uncoordinated data entry and inconsistent naming conventions often result in duplicate supplier profiles. These redundancies cause significant operational friction, including confusion during ordering, inaccurate spending analytics, and unnecessary data management costs.
Objectives
- Automatically detect and group potential duplicate supplier instances with confidence scores.
- Provide Buyer Admins with tools to review, filter, and manage duplicates.
- Enable communication with Supplier Managers and supplier contacts regarding duplicate resolution.
- Maintain a clean, reliable supplier database to support procurement operations and analytics.

Following the complete design of prototype, the next step would be to review the design and features with the client representative team for testing and upon approval converting into a functional product for initial user testing. This would allow the team to understand the technical constraints of the platform in a real-life setting, and provide useful insights for design iteration.

In this project, I learned to balance automation with human oversight by designing a “human-in-the-loop” interface that categorizes complex data by Confidence Levels. I gained experience in Enterprise UX by transforming 100,000+ messy records into an actionable dashboard, ensuring data integrity while maintaining user trust through transparent audit trails and intuitive visualizations.
